Job Description
IT Administrator owning Google Workspace, SaaS access, help desk, and remote support. Supporting RemoteLegalStaff’s global legal staffing operations across distributed teams.
Responsibilities:
- Take over day-to-day IT management for the internal team of 80+ and serve as the first point of contact for IT issues
- Propose IT policies and acceptable-use guidelines for senior management approval
- Build onboarding, help desk, and documentation processes that scale with staff growth
- Administer Google Workspace users, groups, shared drives, sharing settings, and security defaults
- Manage accounts, licenses, and access across Slack, recruiting CRM, project management, HR, and time-tracking platforms
- Own internal-team onboarding and offboarding, ensuring access is ready on day one and removed on the last day
- Maintain an accurate inventory of users, roles, access levels, and licenses
- Enforce MFA, password management, and role-based access; conduct periodic access reviews
- Provide remote support across Latin America, the Philippines, South Africa, and the U.S. via chat, video, and remote desktop
- Troubleshoot tool and account issues on team members' personal computers
- Help placed legal professionals with tool setup, software installation, and computer issues, excluding client or law-firm systems
- Select, set up, and operate the help desk platform, including triage, response times, and tracking
- Build a self-service knowledge base based on common support questions
- Review SaaS tools and subscriptions for overlaps and unused seats; track renewal dates
- Prepare cost-saving recommendations with supporting numbers for senior management
- Identify support patterns and create guides, how-to videos, or training sessions
- Manage DNS, domain, and subdomain technical setup, including email records, for the marketing team
- Support the remote team during U.S. Pacific business hours, starting at 8 a.m. PT
- Help support the company’s time-tracking software
- Deliver documented onboarding/offboarding checklists, enforce MFA, launch the help desk, and provide training materials within the first 90 days
Requirements:
- 3–5 years of hands-on IT administration or support in a fully remote or distributed organization
- Experience as the sole or primary IT person for a remote organization, owning administration and support end to end without on-site access to users or devices
- Experience managing 100+ users in Google Workspace, or equivalent Microsoft 365 tenant administration
- Hands-on experience setting up and administering a help desk or ticketing platform such as Freshdesk, Zendesk, Jira Service Management, or similar
- Experience providing remote support with tools such as AnyDesk, TeamViewer, or similar
- Experience managing user accounts and licenses across multiple SaaS platforms
- Working knowledge of SSO, MFA enforcement, and role-based access control
- Excellent written and verbal English
- Strong customer service instincts and patience with non-technical users
- Ability to work independently and proactively in an async-first environment
- Preferred: experience writing end-user documentation or running short trainings
- Preferred: Slack administration and integrations
- Preferred: basic DNS knowledge, including domains, subdomains, and email records
- Preferred: basic automation skills using Zapier, Make, or similar
- Preferred: background in legal, professional services, staffing, or BPO environments
- Preferred: familiarity with data confidentiality expectations in legal or other regulated industries
- Preferred: experience as a company's first IT hire or building IT from scratch
- Preferred: experience supporting globally distributed teams across multiple time zones
