Job Description

Legal Assistant supporting attorneys at a high-growth legal organization in Mexico. Managing client intake, legal matters, documents, scheduling, LinkedIn, travel, and administrative operations.

Responsibilities:

  • Handle client intake
  • Draft and send engagement letters for signature
  • Create and maintain legal matters in Clio and Notion
  • Create and maintain client folders in OneDrive
  • Support engagement-letter follow-up, collections follow-up and tracking, and billing tasks
  • Manage shared and individual inboxes toward an “Inbox Zero” standard
  • Sort, flag, and respond to routine messages
  • Schedule new-client meetings and ensure Partners are prepared
  • Organize and save documents in OneDrive and Notion according to established policies
  • Maintain document consistency and accessibility across systems
  • Coordinate with IT support on document and OneDrive issues
  • Create prospective-client lists using LinkedIn Navigator
  • Send LinkedIn connection requests from attorney accounts
  • Remove connection requests more than three months old
  • Schedule and publish LinkedIn posts 1–2 times per week
  • Support conference and law firm retreat planning, including flights, hotels, registration, agendas, and programming
  • Assist with routine WordPress website updates and maintenance
  • Handle ad hoc administrative tasks as assigned

Requirements:

  • Fluent English (C1/C2) with excellent grammar and written communication skills
  • 5+ years of Paralegal / Legal Assistant experience, preferably in a law firm
  • Alternatively, a recent law school graduate with at least 2 years of experience working within a law firm
  • Experience with client intake and onboarding
  • Experience with case/matter management
  • Legal document and file management experience
  • Experience with engagement letters and client follow-up
  • Attorney/Partner support and scheduling experience
  • High attention to detail, organization, reliability, and follow-through
  • Ability to follow established processes and manage repetitive administrative tasks
  • Strong written communication and responsiveness
  • Quick to learn new technology tools and comfortable working with systems such as Clio, Notion, and OneDrive
  • Clio, Notion, OneDrive, LinkedIn Navigator / Sales Navigator, WordPress, billing/collections support, and event/travel coordination are preferred or plus qualifications
