Job Description
Operations Support Specialist supporting locum tenens staffing operations for US Anesthesia Partners. Coordinating job postings, credentialing, data integrity, reporting, timekeeping, and billing workflows.
Responsibilities:
- Support day-to-day operational workflows across departments, ensuring tasks are completed accurately and on time
- Post new openings on job boards including Indeed, LinkedIn, Doximity, and GasWork
- Assist with assignment lifecycle processes, including name clearing, candidate submission, provider contract preparation, onboarding, credentialing coordination, and assignment tracking
- Manage job orders from client VMS and create applicable job openings in the agency ATS
- Maintain and audit data in CRM and operational systems such as Bullhorn and Bilflo, identifying and resolving discrepancies
- Monitor key operational metrics and generate reports for leadership review
- Coordinate internal communication between recruiting, account management, onboarding, and billing/payroll teams
- Review and approve jobs in timekeeping software
- Support timesheet tracking, invoicing workflows, and compliance documentation with billing/payroll teams
- Assist in developing and maintaining standard operating procedures and training materials
- Provide administrative support for projects, audits, and operational initiatives
Requirements:
- 2+ years of experience in operations, administrative support, or coordination roles in healthcare staffing
- Locum tenens experience preferred
- Strong organizational and problem-solving skills with the ability to manage multiple priorities
- High attention to detail, particularly with data entry and system accuracy
- Proficiency in Microsoft Office, especially Excel, and CRM systems
- Bullhorn experience preferred
- Excellent communication skills and ability to collaborate across teams
- Self-starter with a proactive approach to identifying and resolving issues
- Ability to complete the physical requirements of the job with or without reasonable accommodation
- Must reside in the United States, excluding California, Hawaii, and Alaska
