Job Description

Payroll Specialist managing accurate weekly and bi-weekly multi-state payroll processing for Aston Carter’s corporate talent solutions. Handling tax filings, adjustments, onboarding, and compliance.

Responsibilities:

  • Process and own multiple weekly and bi-weekly payrolls, ensuring accuracy, timeliness, and compliance.
  • Print and distribute payroll checks and manage related documentation.
  • Enter payroll adjustments including garnishments, deductions, wage assignments, vacation checks, bonus checks, advances, and other special payments.
  • Request and process supplemental checks, including child support payments, employee savings deposits, net deposits, and tax-related payments.
  • Process monthly health and dental insurance billings and integrate them accurately with payroll records.
  • Assist with new hire orientation, payroll setup, timekeeping enrollment, and onboarding activities.
  • Maintain payroll-related records, filings, and reports.
  • Prepare and file required monthly, quarterly, and annual government forms and reports.
  • Manage IRS and state tax checks for multi-state payroll operations.
  • Support automated timekeeping and weekly tasks including pay changes, reclassifications, terminations, new hires, enrollments, and union reporting.

Requirements:

  • At least 5 years of payroll experience, strong in end-to-end payroll processing.
  • Demonstrated experience with multi-state payroll processing, including compliance with regulations across multiple states.
  • Proficiency in managing weekly and bi-weekly payroll cycles for multiple groups or business units.
  • Ability to accurately handle complex payroll adjustments such as garnishments, deductions, wage assignments, bonuses, advances, and vacation payouts.
  • Experience preparing and filing monthly, quarterly, and yearly government payroll reports and forms.
  • Familiarity with processing IRS and state tax checks in a multi-state payroll environment.
  • Experience supporting office or corporate payroll operations within a large, multi-unit organization.
  • Prior exposure to union reporting and coordination with teams that handle union payroll and prevailing wage.
  • Experience using ECMS or similar ERP systems for payroll and related financial processes.
  • Experience using Bamboo or similar payroll platforms.
  • Proficiency with Microsoft Excel; pivot tables and VLOOKUP experience would be highly beneficial.
