  • Expedite customer orders from multiple sources, including international and national FOB, international and national palletised, and DSV orders.
  • Check ship window availability with product / CN and highlight non-conforming dates.
  • Manage the Order Status Document, including inputting orders for review by various teams and applying pressure where securing production is critical.
  • Remove estimates (additions) when orders are placed and report back to the commercial team in the agreed format.
  • Interpret FOB shipment information from the China team and highlight issues.
  • Liaise with the China team and retailer merchandising teams, escalating issues to the National Account Manager / Channel Manager.
  • Build and maintain reports, including promotional calendars, estimates versus actuals, accruals versus spend files, and sales information.
  • Process retailer SOA claims to pre-agreed metrics.
  • Work with the partnerships team on SOA and promotional confirmations.
  • Coordinate retailer product set-up, deadlines, and launch dates with retailers and internal stakeholders.
  • Manage order planning, stock, and sales inputs.
  • Build presentations for range, pallet, and WIGIG offers created by the National Account Manager / Channel Manager.
  • Expedite orders, confirm whether stock has shipped, and highlight issues to the National Account Manager / Channel Manager.
  • Build the base for commercial summaries, with the National Account Manager / Channel Manager retaining ownership of the commercials.
  • Work closely with National Account Managers, Channel Managers, retailers, merchandising teams, internal stakeholders, and overseas teams.

Requirements:

  • Minimum 3–5 years of relevant experience in Sales Coordination, Sales Operations, Commercial Operations, Order Management, or a similar role.
  • Experience supporting commercial, sales, retail, or account management teams is highly preferred.
  • Experience coordinating with multiple stakeholders, customers, internal teams, and/or overseas teams is preferred.
  • Intermediate to good Excel skills, including maintaining reports, tracking data, and preparing commercial summaries.
  • Proficient in Microsoft Office, particularly Excel, Outlook, and PowerPoint.
  • Comfortable working with order management, sales, stock, promotional, and commercial reporting data.
  • Able to interpret information, identify discrepancies, and highlight potential issues.
  • Strong understanding of sales coordination and commercial support, rather than purely administrative or order-processing work.
  • Experience coordinating customer orders, shipments, stock, product launches, promotions, or retailer requirements is advantageous.
  • Able to monitor deadlines, follow up with relevant teams, and proactively resolve or escalate issues.
  • Commercially minded, with the confidence to challenge ideas, ask questions, and contribute to discussions rather than simply follow instructions.
  • Able to manage multiple priorities and stakeholders simultaneously.
  • Strong written and verbal communication skills.
  • Comfortable working with Sales/Account Managers, retailers, internal departments, and overseas teams.
  • Able to build positive working relationships while confidently following up and pushing for action when required.
  • Comfortable working in a role with multiple stakeholders and reporting lines, with no people-management responsibility.
  • Warm, calm, and quietly confident.
  • Trustworthy, reliable, and highly detail-oriented.
  • Organized and able to work autonomously.
  • Proactive and solutions-oriented.
  • Strong commercial awareness and good judgment.
  • Able to work effectively within a young, high-performing UK team.
  • Strong cultural fit and collaborative working style.
  • Monday to Friday availability, 3:00 PM–11:00 PM PH time (8:00 AM to 4:00 PM UK time).
