Job Description

Events Manager coordinating all aspects of gaiia events including logistics, collaboration with sales, and on-site representation. Responsible for execution at trade shows, conferences, and internal gatherings.

Responsibilities:

  • Own end-to-end logistics for all events: booth materials, shipping, travel, accommodations, schedules, promotions, and on-site coordination.
  • Manage event calendars, deadlines, deliverables, and vendor relationships.
  • Coordinate booth design, branded assets, swag, signage, AV needs, and setup/teardown.
  • Organize customer dinners, partner meet-ups, and VIP hosted events.
  • Attend major industry events, greet attendees, and represent the gaiia brand with confidence.
  • Assist Sales and Growth teams during the event, including managing demos, appointments, and booth traffic.
  • Capture event photos, videos, and key highlights for social channels and internal recap.
  • Work with Marketing to ensure assets, campaigns, and messaging align with event presence.
  • Partner with Sales to coordinate pre-event outreach and post-event follow-ups.
  • Collaborate with Product and Leadership to organize speaking opportunities, panel participation, and booth demos.
  • Maintain an organized inventory of booth materials and manage shipping between events.
  • Develop repeatable processes that streamline event preparation and execution.
  • Track event performance, ROI, and lead outcomes to help shape the overall event strategy.

Requirements:

  • 2–4 years of experience in events coordination, field marketing, or similar operational role.
  • Strong organizational and project management skills with extreme attention to detail.
  • Ability to travel frequently to conferences and industry events across North America.
  • Confident, friendly communicator who enjoys representing a brand in person.
  • Comfortable juggling multiple events at once and working with many internal stakeholders.
