Job Description
Remote Project Coordinator managing restoration and construction jobs for a commercial property restoration company. Tracking projects, maintaining Excel and Alby data, and coordinating clients, crews, and insurance companies.
Responsibilities:
- Manage and track multiple active restoration and construction jobs simultaneously in Alby
- Keep job data current, accurate, and organized across spreadsheets and Alby
- Monitor job progress, identify delays, and take action to keep projects moving
- Coordinate with internal teams and field crews to meet milestones and address delays
- Build, maintain, and manage detailed job-level spreadsheets in Microsoft Excel
- Audit work for accuracy before distribution
- Make outbound calls to clients, field personnel, and insurance companies for updates, information, scheduling, and issue resolution
- Handle inbound client inquiries with urgency and professionalism
- Follow up on outstanding items and unresponsive clients
- Communicate clearly and professionally by email
- Use Word, Excel, Outlook, and Teams daily
- Produce accurate, professional documentation, reports, and correspondence
- Manage concurrent jobs, calls, emails, and data tasks
- Prioritize urgent work and flag issues promptly
Requirements:
- 3 or more years of project coordination experience in construction, restoration, or a closely related field
- Advanced Microsoft Excel proficiency
- Full Microsoft Office Suite proficiency, including Word, Outlook, and Teams
- Experience using job management or project tracking software
- Ability to learn new systems quickly; Alby training will be provided
- Excellent written and spoken English communication skills
- Ability to balance speed and accuracy
- Proven ability to manage multiple projects simultaneously in a fast-paced, deadline-driven environment
- Self-starter mentality and ability to act without waiting for direction
