Job Description

Executive Assistant providing administrative and operational support to the Executive Director at Global Energy Monitor. Responsible for managing priorities, meetings, communication, travel, and follow-ups.

Responsibilities:

  • Provide comprehensive administrative and operational support to the Executive Director
  • Manage calendars, appointments, and meeting logistics
  • Track tasks, priorities, and follow-up items to ensure timely execution and accountability
  • Draft, edit, and manage correspondence, reports, internal documents, and document organization systems
  • Make and manage logistical and booking details related to travel
  • Coordinate vendor communication, venues, materials, and scheduling for team events, off-sites, and retreats
  • Represent GEM professionally in interactions with external partners, Board members, vendors, and donors

Requirements:

  • 2+ years of experience in administrative support, executive assistance, or office operations
  • Fluency in English
  • Experience supporting senior leaders or executive-level staff
  • Strong written and verbal communication skills
  • Experience with travel coordination and event logistics
  • Proficiency in Google Workspace, Microsoft Office, and common remote collaboration tools
  • Excellent organizational skills, initiative, and attention to detail
  • Capacity to apply discretion and maintain a high level of confidentiality when handling sensitive information
  • Track record of working to advance a diverse, inclusive, and equitable work environment
  • Experience and/or interest in energy, climate, sustainability, open data, or related fields
  • Ability to self-direct and prioritize among different tasks in a remote work environment
