Job Description
Executive Assistant supporting an AI biotechnology CEO across executive support, operations, fundraising, and personal logistics. Owning finance, contracts, recruiting, communications, systems, and travel in a growing startup.
Responsibilities:
- Serve as the right hand and operational extension of the founder and CEO across professional and personal domains
- Own and orchestrate a complex, shifting calendar across time zones
- Manage the CEO’s inbox, communications, and follow-ups with judgment and discretion
- Draft, edit, and polish emails, presentations, memos, and reports
- Coordinate board meetings, including agendas, briefing materials, and action items
- Plan leadership offsites, investor meetings, strategic planning sessions, and team events
- Build business development and investor slides for the upcoming fundraise
- Coordinate domestic and international travel, meeting logistics, conferences, and speaking engagements
- Maintain the CEO’s professional network, contacts, and LinkedIn
- Liaise between the CEO and internal teams, investors, partners, and external stakeholders
- Process purchase orders, invoices, bills, payments, reconciliations, and vendor workflows
- Coordinate contracts, non-disclosure agreements, statements of work, amendments, reviews, and audit-ready records
- Support recruiting, candidate scheduling, interview protocols, applicant tracking, onboarding, offboarding, equipment, people files, compliance, and employee engagement
- Assist with social media, website updates, public relations, investor communications, media kits, and inquiries
- Manage vendors, software accounts, internal documentation, operational workflows, and process improvement
- Manage the CEO’s personal appointments, household tasks, family scheduling, healthcare administration, financial-advisor documentation, personal travel, and household providers
Requirements:
- Five or more years supporting a senior executive, founder, or high-profile principal in a demanding, fast-paced setting
- Demonstrated experience supporting or coordinating business operations such as finance, people operations, legal, or communications
- Startup or early-stage experience and comfort in an all-hands-on-deck environment
- Obsessive attention to detail
- Confidence, self-assurance, and ability to hold your own with a demanding executive
- Exceptional organization and ability to juggle competing priorities
- Calm, composed, resourceful, and resilient under pressure
- Outstanding written and verbal communication
- Strong judgment, discretion, and sense of ownership
- Comfortable blending professional and personal responsibilities
- Highly responsive and available outside a nine-to-five schedule
- Self-directed and reliable in a fully remote environment
- Fluent on Mac; Mac environment experience is required
- Expert in Google Workspace, specifically Docs, Sheets, Slides, Gmail, and Calendar
- Comfortable with technology and able to troubleshoot independently
- Real document production and professional formatting skills
- Slack fluency
- Comfortable working in an applicant tracking system; the company uses Ashby
- Experience with Ramp or a comparable expense and bill-pay platform
- Technology, biotechnology, or life sciences exposure is a plus but not required
- Familiarity with Keynote, DocSend, website content management tools, and virtual meeting and travel platforms is a plus
