Job Description

Executive Assistant to the CEO in a fast-paced crypto analytics startup, optimizing workflows and managing systems and communication with a focus on high effectiveness.

Responsibilities:

  • Own and optimise a complex, fast-moving calendar across time zones
  • Ruthlessly prioritise to protect CEO focus and energy
  • Manage inbox workflows and response expectations
  • Anticipate bottlenecks before they become problems
  • Act as a trusted thought partner on time allocation and priorities
  • Use AI tools to streamline documentation, research, drafting, summaries, and meeting prep
  • Build lightweight operating systems that improve clarity and execution
  • Identify inefficiencies and redesign processes from first principles
  • Maintain strong weekly operating rhythms and accountability loops
  • Prepare agendas and ensure meetings have clear outcomes
  • Capture concise, high-signal notes with clear action items
  • Drive follow-ups and close loops across teams
  • Support preparation for board, investor, and company-wide meetings
  • Plan detailed international travel with precision
  • Handle last-minute changes calmly and effectively
  • Manage expenses and documentation seamlessly
  • Assist with personal and family logistics when required
  • Handle sensitive matters with absolute discretion
  • Create clarity across competing demands so nothing drops
  • Support initiatives that strengthen company culture and alignment
  • Help raise the quality bar on internal communication
  • Be a connector across teams when needed

Requirements:

  • 5+ years supporting a CEO or senior executive in a startup
  • Experience in a fast-paced tech environment
  • Highly fluent with AI tools and proactive in using them to increase leverage
  • A systems thinker who operates from first principles
  • Direct, clear, and concise communicator
  • Calm under pressure and comfortable with ambiguity
  • High integrity and exceptional discretion
  • Strong sense of urgency and bias for action
  • Fully comfortable operating remotely
  • Ideally based in the European time zone
