Job Description
Executive Assistant supporting a healthcare organization’s CEO, projects, CRM, travel, and events. Building workflow automations across Operations, Sales, and Marketing.
Responsibilities:
- Manage the CEO's inbox and calendar, including organizing and responding to select emails
- Provide occasional assistance with personal tasks and errands
- Use AI tools to create and improve workflows, systems, and administrative processes
- Track ongoing projects across the CEO, Operations, Sales, and Marketing departments and ensure deadlines are met
- Serve as a point of contact for internal and external communications
- Arrange hotels, client meetings, meals, transportation, and other business travel logistics
- Compile reports and conduct market, client, and company research
- Organize files, records, data, and internal reports
- Manage office supplies, company subscriptions, expenses, invoices, and account cancellations
- Coordinate company and trade show events, including lodging, materials, promotional items, and reservations
- Assign, deactivate, and merge CRM accounts; maintain CRM data and hygiene
- Support sales, marketing, operational, software, and tool-management projects
- Build and maintain lightweight workflow automations and document them for handover
- Identify tasks for automation and collaborate with the technology team to implement solutions
- Review AI-generated outputs for accuracy before delivery to customers or Account Managers
Requirements:
- Bachelor's degree in Business Administration, Communications, or a related field (preferred but not always required)
- 3–5+ years of experience in an executive assistant, administrative, or similar role
- Experience supporting the C-suite or senior executives is a plus
- Excellent written and verbal English communication skills, with a minimum C1 proficiency level
- Hands-on experience using AI tools for workflow creation, process automation, and productivity
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and scheduling software
- Strong organizational skills and ability to manage multiple tasks and prioritize effectively
- Discretion and confidentiality when handling sensitive information
- Time management skills and ability to meet deadlines in fast-paced environments
- Problem-solving skills and ability to anticipate needs and provide solutions
- Attention to detail in scheduling, document preparation, and correspondence
- Adaptability to shifting priorities and unexpected challenges
