Job Description

Remote Executive Assistant and Traffic Coordinator supporting a nonprofit marketing executive. Coordinating suppliers, briefs, budgets, schedules, reporting, and communications operations.

Responsibilities:

  • Manage and prioritise executive email communications, calendars, meetings, travel arrangements, and administrative support
  • Coordinate project flow between the executive, creative team, and external service providers
  • Obtain detailed project briefs and clarify requirements with stakeholders before briefing suppliers
  • Source quotes, prepare initial cost estimates, and assist with project budget tracking
  • Assist with reports and presentations, and maintain organised project documentation
  • Coordinate timelines, ensure marketing deliverables are completed on schedule, and provide project updates
  • Collaborate with the executive to improve operational efficiency and reduce administrative bottlenecks

Requirements:

  • Experience as an Executive Assistant, Virtual Assistant, or Project/Traffic Coordinator, ideally within marketing, communications, or an advertising agency environment
  • Strong project coordination skills and ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Ability to work independently and proactively identify tasks and priorities
  • Experience obtaining quotes and coordinating external suppliers or service providers
  • Strong administrative and reporting capabilities
  • Proficiency in Microsoft Office and presentation preparation
  • High attention to detail with ability to work quickly and accurately
  • Financial administration experience, including costings and budget tracking, is advantageous
  • Existing network of marketing or advertising service providers is preferred
  • Experience within the non-profit sector or with grant-funded projects is preferred
  • Highly organised, efficient, and self-motivated
  • Proactive and confident in extracting information and clarifying requirements
  • Strong collaboration and executive support abilities
  • Strategic thinking and excellent problem-solving skills
  • Patience and comfort working with leadership
