Job Description
Executive Operations Assistant managing internal operations in healthcare consulting firm. Driving process improvements and supporting executives with project management in remote setting.
Responsibilities:
- Run L10 and other internal standups, turning them into a live project board and driving follow through
- Building a process inventory across exec, delivery and sales; spotting gaps and proposing improvements.
- Identify missing or broken internal processes across sales, delivery, and leadership, document current state vs desired state, and help implement agreed improvements.
- Owning task/board tools (Planner/equivalent) and keeping work moving from intake to done.
- Maintaining key delivery / milestone calendars and making sure dependencies are handled.
- Partnering on M365/AI workflows to streamline internal processes.
- Proactively manage executive calendars and resolve conflicts (secondary)
- Conduct personalized outreach to healthcare executives on behalf of execs (secondary)
- Build initial sales decks and materials using templates (secondary)
- Draft content for decks using an AI brand-story framework (secondary)
Requirements:
- 5+ years experience in a BPO, corporate, or consulting environment in a project management, ops, or senior EA role supporting executives.
- Proven project/program management skills: running recurring meetings, owning project boards, and driving deadlines.
- Hands on experience with Microsoft 365 (Planner / Team / Sharepoint) and a CRM (Salesforce / Hubspot) highly preferred.
- Excellent written and spoken English, comfortable communicating with senior and C-level executives.
- Demonstrated ability to speak up in leadership meetings, ask clarifying questions, and propose solutions.
- Strong attention to detail and follow-through; comfortable writing and sending communication on behalf of executives.
- Proactive and resourceful; able to work independently in a remote setup on US Central Time hours.
