Job Description
Proposal Specialist developing compliant RFP, RFI, and custom proposal responses for HALO’s branded merchandise business. Coordinating stakeholders, shaping content, and supporting client growth.
Responsibilities:
- Manage assigned RFx projects from start to finish
- Identify deliverables and coordinate with subject matter experts
- Serve as the main point of contact for Sales, clients, and internal teams
- Align timelines, deliverables, and expectations across stakeholders
- Develop, write, and edit proposal content, including executive summaries and tailored responses
- Simplify and standardize subject matter expert input to align with HALO’s voice, positioning, and differentiators
- Leverage AI tools for content development, editing, and process efficiency
- Review, proofread, and support active projects with proposal team members
- Build working relationships across teams and with stakeholders at various levels
- Ensure responses are accurate, compliant with client requirements, and aligned with brand guidelines
- Maintain consistency in tone, messaging, and formatting across proposal materials
- Utilize internal tools and AI resources to support brand alignment and efficiency
Requirements:
- 3+ years of experience in the promotional products industry, preferably in account management, implementation, or other areas with exposure to cross-departmental functions
- Excellent written and verbal communication skills
- Bachelor’s degree or equivalent work experience
- Experience with cloud-based RFP management software, such as Responsive or similar
- Comfortable with AI to support writing and processes
- Highly proficient in Microsoft Word
- Proficiency in Microsoft Office products, including Excel, PowerPoint, Outlook, and Teams
- Proficiency in Adobe software
- Experience managing multiple projects simultaneously
- Experience working across teams and levels of seniority
- Experience synthesizing complex information into clear, effective content
- Promotional products industry experience strongly preferred
