Job Description
Senior Payment Specialist managing site and participant payments for Syneos Health’s clinical-trial services. Coordinating financial reports, payment systems, vendors, and cross-functional stakeholders in Poland.
Responsibilities:
- Maintain and distribute study-specific financial reports, including vendor/site invoices, investigator payments, and forecasts
- Lead internal and external meetings as directed by the PL
- Prepare and distribute meeting minutes and action items
- Follow up with team members on action items to closure
- Record and assess KPIs and provide status reports to customers with PL oversight
- Manage and execute site payments in compliance with Clinical Trial Agreements and site staff agreements
- Manage and execute participant payments in line with regulatory requirements and internal policies
- Record payment transactions and update relevant electronic systems
- Prepare and process payment requests in the designated grant management system
- Create Purchase Orders based on established contract values
- Set up new suppliers for newly engaged site staff
- Track and monitor payment status, resolving issues and reporting inaccuracies
- Contribute to site payment process improvements
- Collaborate with budget, contract, start-up, legal, and finance teams
- Handle financial communication with site contacts and site staff
- Communicate payment status and updates to sites and clinical teams
- Act as a subject matter expert for site payment processes and inquiries
- Deliver assigned tasks independently and according to internal SOPs
- Support high-quality execution of clinical trial payment activities in compliance with regulatory and quality standards
Requirements:
- Moderate relevant clinical research experience with an understanding of clinical drug development and clinical trial operations
- At least 1 year of experience in clinical research in Poland
- Experience in a Payment Specialist role or a similar position
- Understanding of payment processes or related procedures, with the ability to interpret contractual terms and conditions
- Good knowledge of GCP guidelines and other applicable regulatory requirements
- Strong organizational skills
- Ability to perform several tasks simultaneously to meet deadlines
- Self-motivation and ability to work independently
- High proficiency with full MS Office Applications
- Strong communication, presentation, and interpersonal skills, both written and spoken
- Ability to inform, influence, convince, and persuade
- Polish and English language proficiency
