Job Description

Remote Admin Officer supporting construction project records, suppliers, reporting, and delivery workflows. Using Jira, CRM systems, and Microsoft Office for Australian and global client operations.

Responsibilities:

  • Support project administration across multiple active projects
  • Produce, collate, and distribute information using reports and dashboards
  • Maintain accurate project records throughout the delivery lifecycle
  • Assist the delivery team with general administrative tasks
  • Engage with suppliers and subcontractors professionally and proactively
  • Follow up outstanding information and documentation
  • Maintain professional communication with external parties via phone and email
  • Maintain project information records using Jira and associated systems
  • Record and audit client and contractor communications
  • Manage assigned tasks within CRM and task-management systems
  • Support document processing and system updates
  • Follow quality standards, procedures, and delivery processes
  • Identify and escalate issues, delays, and risks
  • Assist with agreed remedies and preventative measures
  • Support audit readiness through complete documentation and communication trails
  • Prepare basic reporting to maintain or improve service delivery
  • Work toward delivery team KPIs and performance targets
  • Fill administrative gaps within the delivery function
  • Perform other role-specific duties as required

Requirements:

  • Bachelor’s degree in Business Administration, Construction Management, Engineering, Information Systems, or a related discipline is preferred
  • Previous experience in an administrative or support role, ideally within construction, engineering, technology, or a related industry
  • Strong organisational skills with the ability to manage multiple tasks simultaneously
  • Accurate IT skills and confidence working with structured systems and workflows
  • Working knowledge of Microsoft Office, including Outlook, Word, and Excel
  • Experience using CRM systems and task or ticket-management platforms (e.g. Jira) is desirable
  • Good written and verbal communication skills, with confidence engaging suppliers and subcontractors
  • Ability to process work efficiently while maintaining attention to detail
  • Ability to follow defined processes, quality standards, and escalation pathways
  • Ability to work both independently and collaboratively within a team environment
  • Prior exposure to construction terminology or documentation is advantageous but not essential
