Job Description
Billing & Operations Specialist assisting in managing Billing processes and supporting Operations Lead. Focused on SaaS Billing Operations and ERP systems while providing general administrative support.
Responsibilities:
- Responsible for managing recurring invoices, uploading them to customer portals, maintaining data, and providing general operational support
- Support the Operations Lead in handling a growing volume of billing, invoicing, and administrative tasks
- Create and send monthly invoices using Invoiced
- Maintain and update internal billing trackers after invoicing
- Assist with trade-compliance research
- Upload proof-of-delivery documents for project billing
- Create and maintain Jira tickets for billing tasks
- Support preparation of hardware billing
- Maintain customer master data in NetSuite
- Assist with data queries and quarterly reporting updates
- Handle employee inquiries related to timesheets
- Organize and maintain file servers
- Manage mobile phones and insurance claims
- Support facility-related matters
- Assist in processing and reviewing supplier invoices
- Communicate with suppliers regarding invoice status
Requirements:
- Completed commercial vocational training (e.g., office administrator, industrial clerk, or equivalent)
- 1–3 years of professional experience in billing, accounting, operations, or administration
- Strong attention to detail and confident handling of structured data and Excel
- Very good German skills (C1+) and good English skills (B2+)
- Reliable, organized, and process-oriented work style
- Comfortable with digital tools and quick to learn new systems
- Experience with NetSuite, Invoiced, or comparable ERP/billing systems
- Experience with Jira or ticket-based workflows
- Experience working in a SaaS, tech, or logistics environment
- Basic knowledge of Accounts Receivable (AR) or Accounts Payable (AP)
- Experience with customer portals (e.g., Tradeshift, DSV, or similar)
