Job Description

Executive Assistant supporting CEO in daily operations and executive management. Maintaining documentation rigor, structuring outputs, and facilitating planning and cross-functional coordination.

Responsibilities:

  • Maintaining executive documentation rigor
  • Structuring meetings into clear outputs and actions
  • Tracking cross-functional commitments
  • Supporting board and planning cycles
  • Reducing cognitive load on the CEO
  • Capture high-quality, structured notes in executive and board meetings
  • Translate discussions into clear action items with owners and deadlines
  • Maintain organized, searchable documentation systems
  • Draft memos, summaries, and internal briefs
  • Support quarterly and annual planning processes
  • Assist in preparing board decks and executive materials
  • Maintain visibility over key company-wide priorities
  • Ensure follow-through across functional leaders
  • Track execution commitments across teams
  • Follow up on deadlines and deliverables
  • Escalate slippage early and objectively
  • Maintain structured dashboards of ongoing initiatives
  • Manage executive scheduling and prioritization
  • Coordinate internal and external communications
  • Maintain high professional standards in all outputs

Requirements:

  • Former founder, operator, or builder experience OR strong analytical background (consulting, finance, research, technical environments)
  • Exceptional structured writing ability
  • Strong analytical reasoning and pattern recognition
  • Comfort synthesizing complex discussions into clarity
  • High attention to detail
  • Ability to operate without ego in a support capacity
  • Strong discretion and professionalism
