Job Description

Executive Assistant to the President providing executive support in a remote capacity. Supporting a global cybersecurity firm with organizational and administrative duties.

Responsibilities:

  • Reporting directly to the President, North America
  • Provide executive support to the President and serve as the primary point of contact for internal and external requests pertaining to the President or its executive team
  • Complete a broad variety of tasks for the President including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Work closely and effectively with the president to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the President's time
  • Communicate effectively, demonstrating leadership to maintain credibility, trust and support with the senior management team
  • Prepare or finalize content, including slides and documents, for leadership team meetings, management meetings, and company town hall or all hands meetings
  • Capture discussion notes, action-items, decisions taken, and other takeaways from leadership meetings and use online collaboration and project-management tools to help ensure meeting participants complete agreed-upon action-items and milestones
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Act as a "barometer," having a sense for the issues taking place in the environment. in relation with communications and marketing, coordinate the organization of off-sites, Sales meetings, or events

Requirements:

  • Have at least 3 years of experience as an Executive Assistant to a senior executive
  • Be tech savvy, able to source new tools and technologies for increased efficiency and effectiveness
  • Have Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Have very strong interpersonal skills and the ability to build trusted relationships internally and externally
  • Have excellent written and verbal communication skills
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Be highly resourceful team-player, with the ability to be effective independently in a fast paced environment
  • Be a forward looking thinker, who actively seeks opportunities and proposes solutions
