Job Description

Legal Intake Specialist managing initial client intake and follow-up for U.S. firms. This role involves evaluating leads, preparing documentation, and coordinating with legal entities.

Responsibilities:

  • Manage all initial client intake and follow-up communications to ensure no qualified lead is missed.
  • Evaluate incoming leads against firm criteria and gather complete, accurate case details.
  • Prepare and process intake documentation, retainers, and initial payments to support timely case onboarding.
  • Coordinate with courts, prosecutors’ offices, probation departments, attorneys, and staff to verify case information.

Requirements:

  • Experience managing phone-based client intake and follow-up communications.
  • Ability to evaluate whether leads meet defined criteria for case acceptance.
  • Experience gathering background case information from multiple sources.
  • Demonstrated persistence in monitoring and following up on pending leads.
  • Experience preparing contracts or retainer-style agreements.
  • Ability to process initial client payments and manage electronic document signing.
  • Experience opening, organizing, and maintaining new case files.
  • Ability to review and confirm that all case information is complete and accurate.
  • Experience contacting courts to obtain case-related information.
  • Experience contacting prosecutors’ offices to obtain case-related information.
  • Experience contacting probation departments to obtain case-related information.
  • Ability to support the full case intake process from first contact through file completion.
  • Strong verbal communication skills and ability to build rapport with clients and team members.
  • Experience processing payments through online payment platforms.
  • Strong problem-solving skills and attention to detail.
  • Ability to complete work on time and consistently follow tasks through to completion.
  • Ability to keep databases and records accurate and up to date.
