Job Description

Business Support Virtual Assistant managing logistics and trucking operations for clients worldwide. Delivering services related to account management, dispatch coordination, and shipment tracking.

Responsibilities:

  • Set up trucking accounts for new clients.
  • Maintain accurate records of client information in CRM and tracking sheets.
  • Ensure all documentation and account details are properly organized.
  • Dispatch LTL (Less-than-Truckload) and TL (Truckload) shipments for pickup.
  • Coordinate directly with carriers to confirm pickup and delivery schedules.
  • Monitor shipment status and proactively communicate updates to clients.
  • Track shipments daily and provide status updates.
  • Coordinate with brokers for customs clearance when required.
  • Review rebills and resolves disputes related to GTZ shipments.
  • Prepare and send freight quotes to customers.
  • Respond to customer inquiries regarding rates, transit times, and shipment updates.

Requirements:

  • 3+ years' experience in logistics, freight brokerage, trucking operations, or dispatch support.
  • Strong understanding of LTL and TL shipment processes.
  • Experience coordinating with carriers and customs brokers.
  • Familiarity with freight billing, rebills, and dispute resolution.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal English communication skills.
  • Neutral or near-native English accent.
  • Ability to work evening shifts reliably.
  • Detail-oriented with strong problem-solving skills.
