Job Description

Operations Specialist managing sampling and recruitment for M3’s healthcare and life-science market research projects. Coordinating fieldwork, partners, translations, and client deliverables.

Responsibilities:

  • Responsible for all aspects of recruitment for quantitative and qualitative projects
  • Assist US Project Managers in delivering studies according to client specifications
  • Liaise with team members and take full responsibility for the sampling aspect of allocated projects
  • Assist and manage technical execution throughout a project’s life cycle
  • Assist with programming, link testing, translations, fieldwork setup, and partner coordination
  • Manage up to 30 live projects
  • Coordinate project fieldwork coordinators and project managers to maximize recruitment results
  • Build sampling plans for allocated projects
  • Review projects regularly and inform project managers when challenges arise
  • Provide recruitment updates to the project management team
  • Ensure projects meet client timelines
  • Use M3 sampling, emailing, and reporting tools effectively
  • Build cross-department working relationships
  • Manage outsourced project recruitment rates and costs against KPIs
  • Maintain client satisfaction scores above target
  • Attend internal kickoffs and prepare client kickoff decks
  • Manage partner coordination, including external liaison communications and ongoing updates
  • Oversee translations and conduct thorough link checks
  • Submit surveys to the programming team
  • Attend client calls to ensure alignment and provide support
  • Troubleshoot link-related issues
  • Set up automated data exports as required
  • Provide client contact information to the Quick Charts team
  • Submit partner request forms
  • Manage internal recruitment with the custom recruitment team
  • Coordinate and schedule pre-tests
  • Partner with the fieldwork team to address questions and issues
  • Reconcile counts for invoicing and ensure partner alignment

Requirements:

  • Bachelor’s degree in sales, marketing, or equivalent number of years’ experience
  • Experience of assisting or managing several projects at the same time
  • Proficient at Excel and strong Microsoft Office skills
  • Ability to work as part of a team and show flexibility in assigned tasks
  • Independently motivated and inspired by working in a dynamic environment
  • Comfortable with change, able to derive opportunity from uncertainty and be an analytical and strategic thinker
  • 100% accuracy and excellent attention to detail
  • Organizational skills for working on a variety of projects
  • Preferably experience with complex market research projects, including intricate sampling
  • Exceptional written and verbal communication skills, with demonstrated knowledge of English grammar rules
  • Experience with email marketing automation and knowledge of email marketing best practices
  • Must be willing to work in US shift hours
