Job Description
Production Specialist managing branded merchandise and corporate gifting projects for Brilliant. Coordinating suppliers, creative teams, purchase orders, timelines, and final delivery.
Responsibilities:
- Manage the production process from post-estimate approval through final delivery
- Manage multiple projects simultaneously and prioritize tasks to keep projects on track
- Serve as the main contact for project-specific vendor and supplier communications
- Maintain communication, document updates in Wrike and Slack, and keep Creative Partners informed of project status
- Route art proofs to clients, coordinate feedback, and communicate revisions to the design team through final approval
- Generate and submit accurate purchase orders and confirm order details with suppliers
- Monitor purchase orders, production progress, schedules, and key milestones
- Review supplier invoices, process payments, and maintain complete records
- Verify pricing accuracy and hold suppliers accountable to maintain project margins
- Use Brilliant’s internal tools and technology to support project execution and fulfillment
- Collaborate with Design, Client Success, Operations, and Fulfillment teams
- Identify and manage delays, inventory issues, and other exceptions with solution-oriented strategies
- Optimize bandwidth, resources, and workflows for efficient project execution
Requirements:
- 2+ years of experience in project management, production coordination, or a similar logistics and production-based role
- Experience with creative agencies or corporate gifting preferred
- Ability to work within tight deadlines and meet customer expectations
- Strong problem-solving and analytical skills in a fast-paced environment
- Excellent verbal and written communication skills, including explaining complex issues simply
- Customer-first mindset and passion for exceptional service
- Technical proficiency with software applications and ability to learn new systems quickly
- Experience with project management tools such as Wrike or Asana
- Experience with ticketing systems such as ZenDesk, Intercom, or Front
- Ability to manage large projects and coordinate across departments
