Job Description

Project Coordinator in charge of project administration for engineering/construction at Ulteig. Maintaining project controls and documentation while supporting project teams in Lifeline Sectors.

Responsibilities:

  • Complete project setup, maintenance, and closeout within the system of record.
  • Provide administrative support for contract management, including reviewing and tracking contract deliverables.
  • Facilitate communication between project teams and clients to ensure smooth project operations.
  • Assist Project Managers and other stakeholders with general responsibilities and tasks as delegated.
  • Support the project team by coordinating meetings, workshops, and other project-related activities.
  • Identify and track potential project risks to support the Project Manager in Risk Management.
  • Prepare and distribute project documentation, including meeting minutes, status reports, and presentations.
  • Maintain organized records of project documents, ensuring all stakeholders have access to the latest information.
  • Effectively initiate and implement process changes as necessary.
  • Support administration of project contracts (including subcontracts) and change orders.
  • Support the project manager in preparation and management of project schedules, budgets, and financial reports within our Lifeline Sectors.
  • Proactively identify potential project issues regarding schedule, scope, and budget and work with the project team to implement a risk management strategy.
  • Maintain project schedule and budget updates throughout the lifecycle of the project.
  • Proactively identify work assignments that need to be completed.
  • Build relationships with the project team to help build coordination and communication.
  • Support development of team members as it relates to exceptional client service delivery.
  • Assist in the quality review in support of the project controls teams.
  • Adhere to Ulteig governance policies and procedures for project success.

Requirements:

  • Bachelor’s degree in Business Administration, Project Management, Engineering, Construction Management, or related field, or equivalent experience.
  • 2-3 years of experience in project administration or a related role, preferably working on engineering projects.
  • Intermediate understanding of project management and project controls.
  • Microsoft Dynamics (Finance & Operations) experience preferred.
  • Planview AdaptiveWork/Clarizen experience preferred
  • Strong analytical and problem-solving skills.
  • Proficiency in project management software (e.g., MS Project, Primavera, Planview Adaptive Work).
  • CAPM certification preferred.
  • Must have authorization to work permanently in the U.S or Canada.
  • Must be able to travel to the US and Canada.
