Job Description

Transport Administrator supporting Bulk Transport through data entry and invoicing tasks. Coordinating with teams and ensuring compliance for effective transport operations.

Responsibilities:

  • The Transport Administrator is responsible for supporting the Bulk Transport operations through accurate data entry, invoicing support, records management, and coordination across internal teams, drivers, customers, and regulatory bodies.
  • Daily data entry into the Translogix system, including processing driver run sheets, PODs, weighbridges, and SPA documentation
  • Identify and liaise with drivers and operations teams to resolve discrepancies or uncertainties
  • Process daily invoicing and creditor invoices for the Bulk Transport department
  • Assist with job bookings and raising consignment notes
  • Maintain accurate and up-to-date records within company systems
  • Liaise with customers and external stakeholders to support invoice processing and service delivery
  • Provide administrative support across transport operations as required
  • Support compliance requirements, including internal audits and financial audit preparation
  • Assist during team absences to ensure business continuity
  • Promote and support company commitment to Zero Harm and workplace safety principles
  • Other position-level duties as they arise

Requirements:

  • Relevant qualification in Administration, Business, Logistics, or related field (Diploma or Bachelor’s degree preferred but not essential)
  • 3-5+ years’ experience in an administrative, transport, logistics, or accounts-related role
  • Experience in transport, warehousing, or logistics industries highly regarded
  • Strong data entry accuracy and attention to detail
  • Experience processing invoices and handling financial documentation
  • Proficiency in Microsoft Office Suite
  • Experience with transport management systems (Translogix or similar) desirable
  • Strong problem-solving and analytical capability
  • Ability to communicate professionally with internal and external stakeholders
  • Organised with the ability to manage multiple priorities
  • Commitment to workplace safety and compliance standards
  • Ability to work independently in a remote support capacity
