Job Description
Finance & Operations Assistant at Ofri managing financial operations and supporting recruitment efforts. Involved in process optimizations using modern tools and providing operational support.
Responsibilities:
- Daily review of the bank account for incoming customer payments and closing invoices in our customer-specific software
- Collaborate with the support team to follow up on accounts receivable
- Enter accounts receivable and accounts payable into our accounting software
- Monthly account reconciliation in the accounting software
- Manage the digital filing system
- Update and create documentation
- Contribute to process optimization projects (including migration from Banana to Abaninja)
- Responsible for operational tasks in the recruiting process: posting job ads, reviewing and sorting incoming applications, conducting "must-have" screenings, coordinating take-home tasks, and scheduling interviews and reference checks
- Candidate communication: confirmations, reminders, rejections, collecting feedback, preparing contracts for signature and filing
- Support and coordinate onboarding and offboarding tasks for the team (set up new accounts, ensure delivery or return of equipment, etc.)
- Plan and coordinate on-site company retreats, including booking flights as well as hotel and restaurant reservations
- Create and maintain AI workflows and AI agents
- General day-to-day operational support (coordination, documentation, data maintenance, preparation and follow-up).
Requirements:
- Currently enrolled in a degree program with at least two academic years remaining (enrollment for the next 2 years)
- Basic accounting knowledge (double-entry bookkeeping, journal entries, account reconciliation)
- Native German speaker, good English skills
- Comfortable with technology and tools such as Slack, Confluence, Trello, Google Workspace, and Zapier
- Advanced knowledge of AI tools and workflows is an advantage
- Strong ability to conduct independent research
- Excellent organizational skills, high attention to detail, and ability to manage multiple tasks in parallel
- Highly self-motivated with a proactive approach to problem-solving
- Residence in Switzerland
