Job Description

Assistant Operations Manager supporting clinicians, workflows, and KPI reporting for a growing behavioral health practice. Improving operational efficiency through documentation, data analysis, and leadership support.

Responsibilities:

  • Serve as a primary operational resource for clinicians across the practice
  • Provide timely, responsive operational support and help clinicians navigate processes, documentation, scheduling questions, and internal workflows
  • Partner with leadership to improve clinician satisfaction and the operational experience
  • Support daily operational workflows and maintain accurate documentation and internal processes
  • Identify opportunities to improve efficiency, consistency, and workflow effectiveness
  • Assist with operational initiatives across multiple departments
  • Maintain HIPAA compliance and organizational standards
  • Track clinician activity, documentation, sessions, operational metrics, and KPIs
  • Pull, analyze, and interpret operational reports for leadership
  • Monitor departmental goals and identify trends or improvement opportunities
  • Support operational planning through data analysis and performance reporting

Requirements:

  • Bachelor's Degree - Required
  • 2+ years of experience in behavioral health, healthcare administration, medical office operations, or a similar healthcare environment
  • Experience using an Electronic Health Record (EHR) system; AdvancedMD strongly preferred
  • Strong relationship-building, communication, and interpersonal skills
  • Ability to work effectively with clinicians and cross-functional teams
  • Strong analytical skills with the ability to organize, interpret, and communicate operational data
  • Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment
  • Comfortable working independently in a fully remote environment
  • Preferred: experience in a behavioral health or outpatient private practice
  • Preferred: experience with Salesforce or another CRM platform
  • Preferred: familiarity with New York insurance plans and authorization processes
  • Preferred: experience pulling reports, analyzing operational data, and tracking KPIs
  • Preferred: previous leadership or supervisory experience
