Job Description
Assistant Operations Manager supporting clinicians, workflows, and KPI reporting for a growing behavioral health practice. Improving operational efficiency through documentation, data analysis, and leadership support.
Responsibilities:
- Serve as a primary operational resource for clinicians across the practice
- Provide timely, responsive operational support and help clinicians navigate processes, documentation, scheduling questions, and internal workflows
- Partner with leadership to improve clinician satisfaction and the operational experience
- Support daily operational workflows and maintain accurate documentation and internal processes
- Identify opportunities to improve efficiency, consistency, and workflow effectiveness
- Assist with operational initiatives across multiple departments
- Maintain HIPAA compliance and organizational standards
- Track clinician activity, documentation, sessions, operational metrics, and KPIs
- Pull, analyze, and interpret operational reports for leadership
- Monitor departmental goals and identify trends or improvement opportunities
- Support operational planning through data analysis and performance reporting
Requirements:
- Bachelor's Degree - Required
- 2+ years of experience in behavioral health, healthcare administration, medical office operations, or a similar healthcare environment
- Experience using an Electronic Health Record (EHR) system; AdvancedMD strongly preferred
- Strong relationship-building, communication, and interpersonal skills
- Ability to work effectively with clinicians and cross-functional teams
- Strong analytical skills with the ability to organize, interpret, and communicate operational data
- Excellent organizational skills and ability to manage multiple priorities in a fast-paced environment
- Comfortable working independently in a fully remote environment
- Preferred: experience in a behavioral health or outpatient private practice
- Preferred: experience with Salesforce or another CRM platform
- Preferred: familiarity with New York insurance plans and authorization processes
- Preferred: experience pulling reports, analyzing operational data, and tracking KPIs
- Preferred: previous leadership or supervisory experience
