Job Description
Billing & AR Support Specialist assisting with daily billing and accounts receivable activities for a logistics company. Ensuring accurate documentation, timely billing, and seamless cash flow in a fast-paced environment.
Responsibilities:
- Assist with daily billing operations using Nevoya's internal TMS software and external customer portals
- Review and verify order and load data
- Retrieve, scan, and store supporting paperwork (BOLs, PODs, rate confirmations) from physical copies, dispatching software, or customer portals
- Help generate invoices in the TMS, ensuring all supporting documentation is attached and accurate
- Upload invoices and supporting materials to customer portals or communicate directly with accounts payable contacts
- Assist with monthly reconciliations and finance reporting as needed
- Contribute to month-end close by preparing reports and verifying billing activity aligns with recorded revenue
- Maintain consistency in document naming, storage, and process documentation
- Collaborate cross-functionally to ensure data accuracy between dispatch, operations, and leadership
- Support the team with ad-hoc reporting and special projects
Requirements:
- At least 2 years of experience in billing, accounts receivable, or payroll support, ideally in logistics, transportation, or fleet operations
- Strong attention to detail and a structured approach to documentation
- Experience using a transportation management system (TMS) or similar operational software
- Knowledge of freight terminology and operations
- Intermediate Excel or Google Sheets skills for reconciliations and reporting
- Clear communication skills and professionalism in customer and team interactions
- Comfort working in a fast-paced startup environment where priorities shift quickly.
