Job Description
Civil Litigation Legal Secretary supporting personal injury defense attorneys at AAA insurer CSAA Insurance Group. Drafting legal documents, managing electronic case files, calendars, court filings, and litigation administration remotely.
Responsibilities:
- Generate, compose, and draft correspondence, legal documents, and forms
- Organize and maintain electronic files for current cases and legal matters
- Docket and calendar legal appearances and filing deadlines
- Provide administrative support for depositions, medical examinations, court and arbitration hearings
- Work with retained experts
- Manage calendars, scheduling, and follow-up tasks
- E-file documents with courts
- Understand case-file status and take proactive action when necessary
- Support two CSAA Insurance Group attorneys handling personal injury defense matters, primarily auto-related cases
Requirements:
- 3–5 years of experience as a Legal Secretary or equivalent
- Knowledge of legal terminology and proper formats for legal documents
- Knowledge of legal procedures and document editing
- Understanding of California court venues and familiarity with local rules
- Knowledge of e-filing processes with various California courts
- Ability to multitask and prioritize
- Strong attention to detail and accuracy
- Ability to work in a strictly electronic, paperless environment
- Strong PC skills
- Strong Microsoft Office skills, including Office 365, Teams, and OneDrive
- Skilled in Adobe and manipulating PDF documents
- Demonstrated knowledge of legal software applications
- Ability to handle and respond to sensitive and confidential information
- Strong oral and written communication and organizational skills
- Ability to file using alphanumeric systems
- Advanced knowledge of practice areas and legal procedures
- Bachelor's degree in a related area or an equivalent combination of education and experience is preferred
- Notary license preferred
- Knowledge of Electronic Legal Management, e-Docs, and TeamConnect preferred
- Ability to travel as needed for divisional/team meetings and other in-person meetings
- Must have authorization to work indefinitely in the United States
- CSAA does not provide visa sponsorship; applicants must not require current or future immigration support
