Job Description

Remote legal assistant managing US personal injury pre-litigation cases for a personal injury law firm. Preparing demands, coordinating medical records, and supporting client communication and compliance.

Responsibilities:

  • Serve as the primary point of contact for assigned clients during treatment and demand preparation.
  • Maintain accurate, complete, and current records in the firm's case management system.
  • Monitor medical treatment progress and follow up regularly with clients.
  • Draft clear, persuasive, well-supported settlement demands.
  • Confirm all treatment is complete before submission.
  • Submit finalized demands to insurance carriers; no negotiation authority.
  • Communicate proactively with clients every 7–10 business days.
  • Return client calls, emails, and messages promptly.
  • Explain treatment expectations and documentation needs.
  • Identify potential Medicare involvement and notify the supervising attorney.
  • Document lien-related findings in case files.
  • Accurately document case activity and client communications.
  • Maintain compliance with HIPAA and state privacy laws.
  • Support attorneys by improving communication, streamlining case management, and enhancing client satisfaction.

Requirements:

  • Direct prior experience handling US personal injury pre-litigation workflows (Stages 1–2), including medical records retrieval, billing collection, and demand package drafting.
  • Exceptional written and verbal English skills with clear pronunciation and strong phone etiquette for client calls and provider follow-ups.
  • Proven ability and dedicated setup to consistently work US Eastern Time hours (9:00 AM – 5:00 PM ET) without attendance conflicts.
  • Hands-on experience or demonstrated tech fluency in navigating legal CRM systems (Smart Advocate preferred) and VOIP/phone software (RingCentral preferred).
  • Initiative to manage a task queue independently without daily direction.
  • Warm, polite, and reassuring phone manner when supporting clients undergoing medical treatment.
  • Outstanding attention to detail when organizing medical records, itemized billings, damage documentation, and structured notes.
  • Ability to adapt to remote desktop setups, digital fax systems, Outlook calendaring, and integrated telephony tools.
  • Commitment to confidentiality, HIPAA compliance, data safeguarding, and recognizing legal boundaries; never offering legal advice.
  • Computer with at least 8GB RAM and Intel i5/AMD Ryzen 5 processor or higher.
  • Internet speed of at least 40MBPS.
  • Noise-cancelling headset with extended microphone and webcam.
  • Backup computer and internet connection.
  • Quiet, dedicated workspace at home.
  • Ability to work full-time, Monday through Friday, 9:00 AM–5:00 PM ET.
