Job Description

Executive Assistant supporting CEO and CIO in a fast-paced, global impact investing environment. Managing complex schedules, communications, and travel arrangements while ensuring operational efficiency.

Responsibilities:

  • Master the calendars of 2 executives across multiple time zones — no conflict goes unresolved, no priority gets buried
  • Own every touchpoint for high-level meetings: board sessions, investor calls, strategic reviews from agenda to debrief
  • Manage all travel end-to-end: flights, visas, accommodation, ground transport, and detailed itineraries that actually work
  • Triage and respond to high-volume correspondence with the right tone, the right urgency, the right judgment
  • Serve as the nerve centre between executives and the rest of the organisation — internal teams, board members, investors, and key external partners
  • Prepare polished reports, presentations, briefing materials, and meeting minutes that reflect the standards of the leadership you support.
  • An individual who can manage tasks effectively using AI will certainly be prioritised
  • Anticipate issues — deadlines, conflicts, gaps — before they surface as problems
  • Follow through on action items from leadership meetings until they're done, not just delegated
  • Handle confidential information with the kind of discretion that never has to be asked for
  • Research and compile intelligence for upcoming engagements, conferences, and business development opportunities
  • Manage expenses, reimbursements, and basic financial administration as required

Requirements:

  • 7+ years directly supporting C-suite or CXO-level executives in a remote capacity — not adjacent to it, in it
  • Proven track record managing complex multi-timezone schedules with precision and composure
  • Exceptional written English — you can write a board briefing and a casual follow-up email, and both will land perfectly
  • Advanced proficiency in AI tools, Google Workspace and Microsoft Office; comfortable with Slack, Asana, Zoom, or equivalent tools
  • A professional home setup in the Philippines with reliable, high-speed internet — non-negotiable
  • Bachelor's degree in Business Administration, Communications, or a related field (preferred)
  • Familiarity with impact investing, financial services, or development finance is a meaningful advantage
