Job Description
Executive Assistant managing priorities and operational tasks for CEO at a wellness company. Seeking a highly organized and proactive individual thriving in remote settings.
Responsibilities:
- Attend meetings and translate discussions into clear, actionable notes and follow-ups.
- Manage and track inventories across multiple areas of the business.
- Oversee email communications, including drafting, sending, organizing, and following up on messages.
- Place orders and coordinate purchasing needs in a timely and organized manner.
- Build and maintain strong working relationships with vendors and suppliers.
- Provide day-to-day administrative support and assist with ad-hoc operational tasks.
- Maintain well-organized files, documentation, and records using Google Drive.
- Leverage AI tools to improve workflows, support research, scheduling, and task automation.
- Coordinate calendars, scheduling, and task management using Motion AI (or quickly learn the platform).
Requirements:
- Previous experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.
- Strong English communication skills, both written and verbal.
- Highly tech-savvy with the ability to quickly learn new tools and AI-based technologies.
- Exceptional organizational skills and strong attention to detail.
- Proactive, self-motivated, and comfortable working independently without micromanagement.
- Ability to thrive in a fast-paced, evolving environment.
- Proficiency with Google Workspace (Docs, Sheets, Drive).
- Experience with Motion AI or a strong willingness to learn.
