Job Description
Healthcare Administrative Virtual Assistant supporting a healthcare organization in billing, insurance authorizations, and patient management. Skilled in administration and communication for efficient healthcare operations.
Responsibilities:
- Manage billing denials and follow up on outstanding claims.
- Track and follow up on insurance authorizations.
- Access insurance and MCO portals for authorization and billing-related tasks.
- Follow up on insurance claims and payment statuses.
- Ensure authorizations are completed promptly after assessments and tracked through approval.
- Maintain accurate records, documentation, and task tracking.
- Schedule and reschedule patient appointments.
- Complete patient intake processes.
- Answer and manage incoming phone calls.
- Perform front desk and receptionist duties.
- Handle patient communications professionally and compassionately.
- Potentially manage patient calls and complete intakes independently after training.
- Handle credentialing and insurance enrollment processes.
- Upload and process information within healthcare systems and platforms.
- Manage email inboxes and calendars.
- Coordinate administrative tasks and provide office support.
- Follow established SOPs, workflows, and internal processes consistently.
- Provide daily accountability updates and end-of-day reports.
- Support general healthcare administrative operations.
- Schedule and publish social media content.
- Assist with event planning and coordination.
- Support marketing and lead generation initiatives.
- Conducting pre-assessment patient interviews; gathering patient information before clinician evaluations; assisting with clinical documentation preparation; supporting diagnostic workflow processes; creating supporting clinical documentation from completed assessments; assisting with behavioral health treatment planning workflows.
Requirements:
- Previous healthcare administration experience required.
- Behavioral health or mental health industry experience preferred.
- Experience with medical billing, billing denials, and claims follow-up.
- Knowledge of insurance authorizations and credentialing processes.
- Comfortable working within healthcare systems, insurance portals, and multiple software platforms.
- Excellent verbal and written English communication skills.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and priorities simultaneously.
- Highly dependable, reliable, and consistent.
- Strong accountability and ownership mindset.
- Self-motivated with the ability to work independently and with minimal supervision.
- Quick learner who can adapt to new systems and workflows efficiently.

- Must have relevant work experience.
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory].
- Must be available for video meetings with your camera on (when needed).
