Job Description
Virtual Assistant supporting a consulting firm in the private equity space with finance and operations. This role involves managing Accounts Payable, Receivable, HR, and executive communications.
Responsibilities:
- Manage Accounts Payable: Receive vendor invoices via email, upload and process invoices in Bill.com, track payment status and ensure accuracy
- Manage Accounts Receivable: Create and issue client invoices via Bill.com, send professional invoice emails to senior stakeholders, follow up politely on overdue invoices
- Maintain clear records of invoices, payments, and outstanding balances
- Coordinate with external bookkeepers and accountants
- Support payroll administration using Gusto
- Track hours and payments for contractors (1099s)
- Assist with onboarding new hires and interns, maintain organized HR records
- Support internal operations and back-office workflows, assist with travel planning and logistics
- Handle ad hoc administrative and operational tasks
Requirements:
- 3–5+ years experience in finance admin, operations, or executive support
- Hands-on experience with Accounts Payable & Accounts Receivable
- Strong written English and professional email communication skills
- High attention to detail and strong organizational habits
- Comfortable handling confidential financial and HR information
- Ability to communicate professionally with senior-level stakeholders
- Proactive, dependable, and process-driven
- Prior experience with Bill.com (nice-to-have)
- Experience using Gusto or similar HR/payroll systems (nice-to-have)
- Background supporting consulting, professional services, or finance-driven businesses (nice-to-have)
- College degree (preferred but not required)
