Job Description

Medical Marketing & Patient Coordination Specialist facilitating patient scheduling and coordinating with attorneys for a medical practice. Requires prior medical office experience and strong communication skills.

Responsibilities:

  • Reach out to new and existing patients to facilitate appointment scheduling and confirm attendance
  • Schedule new patient referrals and obtain all required documentation and demographics
  • Ensure all patient information is accurately entered into the EMR system
  • Coordinate outgoing referrals (in-house and external), assisting patients with finding appropriate facilities when needed
  • Support the Central Scheduling department during high-volume periods or staff absences
  • Communicate regularly with attorneys and paralegals to obtain patient-related documents such as scripts, imaging orders, and declaration pages
  • Track and follow up on pending documentation and correspondence to ensure timely processing
  • Maintain organized records of all legal and referral communications using spreadsheets and EMR tools
  • Act as a liaison between the practice and external partners, including law firms, referring offices, community organizations, and online vendors
  • Support patient outreach campaigns and referral relationship management
  • Assist in identifying opportunities to enhance patient engagement and streamline communication between patients and providers
  • Assist in management of Birdeye and ZocDoc; and any other add-on vendors that assist with marketing efforts

Requirements:

  • Minimum 2 years in a medical office, marketing, or patient coordination role (experience with motor vehicle accident patients strongly preferred)
  • Proficient in EMR systems (specify your EMR if desired), Microsoft Office Suite, and spreadsheet management (Excel or Google Sheets)
  • Excellent written and verbal communication skills; professional and empathetic demeanor when interacting with patients and legal professionals
  • Strong attention to detail; able to manage multiple priorities, track tasks, and meet deadlines
  • Willing to assist other departments, especially Central Scheduling, as needed
  • Experience with medical–legal case coordination or personal injury cases (preferred, not required)
