Job Description

Operations Assistant responsible for managing operational tasks for a fast-growing deep-tech startup. Supporting day-to-day business operations and ensuring efficiency in administrative processes.

Responsibilities:

  • Manage and organize company documents, folders, and operational records
  • Maintain and administer systems including Microsoft Office, SharePoint, and Gusto
  • Monitor and manage operational inboxes and workflows
  • Take ownership of routine operational requests and administrative tasks
  • Coordinate employee onboarding and offboarding processes
  • Follow up with new hires and internal stakeholders to collect required information and documentation
  • Manage various company portals and administrative systems
  • Prioritize and route incoming requests appropriately
  • Track outstanding actions and ensure timely completion
  • Support process improvements and operational efficiencies where appropriate

Requirements:

  • Previous experience in an Operations Assistant, Executive Assistant, Administrative Assistant, or Operations Coordinator role
  • Strong proficiency with Microsoft Office Suite
  • Experience using SharePoint
  • Experience using Gusto or similar HR/payroll platforms
  • Excellent written English communication skills
  • Strong organizational and time management abilities
  • High attention to detail
  • Ability to work independently with minimal supervision
  • Comfortable handling multiple priorities simultaneously
  • Professional, polite, and service-oriented approach
