Job Description

Pre-Filing Paralegal Specialist onboarding clients, translating documents, and organizing evidence. Supporting case progression for a fast-growing US immigration law firm.

Responsibilities:

  • Conduct onboarding calls, welcome new clients, gather background information, and explain the onboarding process without providing legal advice
  • Maintain consistent client communication, provide timely updates, and follow up on outstanding documents, questionnaires, signatures, photos, and records
  • Translate client documents and assist with Spanish/English interpretation during calls
  • Open new client matters in Filevine and ensure client profiles are accurate
  • Review contracts, HubSpot information, intake notes, and prior communications before onboarding
  • Collect, review, organize, rename, and upload client evidence
  • Request, track, and process government evidence, including FOIA and background requests, according to firm training
  • Prepare case notes, task updates, and next-step documentation in Filevine
  • Identify missing information, urgent issues, and complex client questions requiring attorney or paralegal review
  • Coordinate with paralegals, attorneys, reception, sales, finance, and other departments
  • Support the handoff of cases to the paralegal team after onboarding and evidence collection are complete
  • Communicate with clients calmly, respectfully, and empathetically during stressful or sensitive situations

Requirements:

  • Strong organization and time management skills; ability to handle multiple priorities and a heavy caseload
  • Deep focus on accuracy when following processes and documenting case work
  • Comfort with process changes, shifting priorities, and fast-paced environments
  • Proficiency with case management systems, calendars, email, Teams, and spreadsheets
  • English/Spanish bilingual skills are highly preferred for client communication, interpretation, and document translation
  • Clear understanding of the difference between administrative/legal support and giving legal advice
  • Prior experience in immigration legal support is a plus
  • Familiarity with family-based, humanitarian, consular processes, T Visa, U Visa, VAWA, AOS, or similar case types
  • Experience requesting or processing FOIAs, FBI background checks, police records, or court records
  • Experience using Filevine, HubSpot, Monday.com, Outlook, or Teams is highly advantageous

  • Net compensation of $26,000 to $30,000 MXN depending on experience
