Job Description

Senior Project Coordinator supporting Diversified’s sports venue projects through logistics, procurement, billing, and closeout. Coordinating Project Management, Technical Operations, vendors, and deliveries.

Responsibilities:

  • Organize, control, execute, and facilitate project activities throughout the project lifecycle
  • Support project logistics, planning, coordination, and project finances
  • Work with Sales and Technical Operations teams on project kick-offs and closeout procedures
  • Create project documents and coordinate vendors
  • Track procurement, equipment orders, deliveries, inventory, and the Bill of Materials
  • Schedule and attend internal and external project meetings
  • Review project conversions and budgets against customer purchase orders and contracts
  • Provide administrative support to Technical Operations, Project Teams, local management, and Project Managers
  • Coordinate with Accounts Receivable staff to initiate regular project billings, including AIA billing documents when applicable
  • Post critical project documentation to enterprise document management portals
  • Serve as the primary interface between Project Management and Procurement
  • Coordinate with Shipping & Receiving on project deliveries
  • Facilitate subcontractor/vendor quote approvals
  • Follow up on unreceived or unpurchased items
  • Review project financials and organize monthly cost reports
  • Complete project closeout checklist tasks and reproduce required forms
  • Attend department-required training

Requirements:

  • High School Diploma or equivalent
  • 5+ years of experience in a Project Coordinator support role and/or projects-related role
  • Experience with MS Office suite, emphasizing Excel, Word, Outlook, PowerPoint, and Adobe
  • Familiarity with Accounting Systems
  • Experience with project management software such as MS Project required
  • Ability and willingness to mentor other team members
  • Ability to act on behalf of the Project Manager when necessary
  • Ability to work in a team-oriented environment and remote locations
  • Effective oral and written communication of relevant project information
  • Ability to adapt to shifting priorities
  • Analytical and problem-solving capabilities
  • Ability to respond promptly and efficiently to project adjustments
  • Ability to elicit cooperation from varied sources and departments
  • Strong organization and task-switching ability
  • Ability to research project-related issues and products
  • Ability to prioritize and execute tasks in a high-pressure environment
  • AVIXA CTS or industry certifications
  • Technical/business degree or equivalent work experience preferred
  • Microsoft Teams
  • Dynamics 365
  • General Contractor, Construction, Security, or Integration background
  • Familiarity with AIA and Prevailing Wage documents and processes
  • Client management skills
  • Strong financial acumen
