Job Description

Senior Project Coordinator managing logistics, procurement, billing, and closeout for Diversified sports venue technology projects. Coordinating Project Management, Technical Operations, vendors, and deliveries.

Responsibilities:

  • Organize, control, execute, and facilitate project activities throughout the project lifecycle
  • Support project logistics, planning, coordination, and finances
  • Work with Sales and Technical Operations teams on project kick-offs and closeout procedures
  • Create project documents and post critical documentation to enterprise document management portals
  • Coordinate vendors and subcontractors, including quote approvals
  • Track procurement, equipment orders, and deliveries
  • Review project conversions and budgets against customer purchase orders and contracts
  • Coordinate with Sales and Project Management to resolve budget and contract issues
  • Provide administrative support to Technical Operations, Project Teams, and local management
  • Coordinate regular project billings with Accounts Receivable, including AIA billing documents when applicable
  • Serve as the primary interface between Project Management and Procurement
  • Assist with Bill of Materials management for active projects
  • Coordinate with Shipping & Receiving on project deliveries
  • Coordinate onsite deliveries, inventory, and other onsite tasks as needed
  • Attend internal and external project meetings
  • Review project financials and organize monthly cost reports
  • Complete project closeout checklist tasks and reproduce project preparation forms
  • Collaborate with project teams and supervisors to manage bandwidth and tasks
  • Attend required training classes

Requirements:

  • High School Diploma or equivalent
  • 5+ years of experience in a Project Coordinator support role and/or projects-related role
  • Experience with MS Office suite, especially Excel, Word, Outlook, PowerPoint, and Adobe
  • Familiarity with Accounting Systems
  • Experience with project management software, such as MS Project
  • Ability and willingness to mentor other team members
  • Ability to act on behalf of the Project Manager when necessary
  • Ability to work in a team-oriented environment and remote locations
  • Effective oral and written communication of relevant project information
  • Ability to adapt to shifting priorities
  • Analytical and problem-solving capabilities
  • Ability to respond promptly and efficiently to project adjustments
  • Ability to elicit cooperation across departments
  • Strong organization and task-switching ability
  • Ability to research project-related issues and products
  • Ability to prioritize and execute tasks in a high-pressure environment
  • AVIXA CTS or industry certifications
  • Technical/business degree or equivalent work experience preferred
  • Microsoft Teams
  • Dynamics 365
  • General Contractor, Construction, Security, or Integration background
  • Familiarity with AIA and Prevailing Wage documents and processes
  • Client management skills
  • Strong financial acumen
