Job Description
Administrative Assistant supporting clinical staff and ensuring smooth operations in a remote ABA practice. Opportunity to grow into a full-time position as the practice expands.
Responsibilities:
- Answer phone calls, emails, and general inquiries from families, staff, and referral sources
- Schedule and coordinate client and clinician appointments
- Maintain client and staff records in compliance with HIPAA regulations
- Assist with onboarding paperwork for new clients and employees
- Support billing, authorizations, and insurance documentation as needed
- Manage calendars, meetings, and office correspondence
- Order office supplies and maintain an organized workspace
- Assist with data entry, filing, and document preparation
- Support the development of SOPs for a growing agency
- Perform other administrative tasks as assigned
Requirements:

- Team-oriented with a proactive attitude
- Strong written and verbal communication skills
- Ability to handle sensitive information with discretion
- Demonstrated experience in complex scheduling and calendar management
- Basic computer skills: Microsoft Word, Google Workspace, Adobe (PDF editing)
- Previous administrative or office experience preferred
- Experience in healthcare, education, or ABA settings is a plus
- High school diploma or equivalent required
