Job Description

Remote part-time executive assistant supporting a US commercial real estate client. Managing calendars, communications, CRM data, administrative operations, and process documentation.

Responsibilities:

  • Manage the principal’s calendar, coordinate meetings across time zones, and confirm appointments
  • Monitor and triage email, draft responses, and follow up on open items
  • Handle inbound and outbound calls and conduct client outreach as requested
  • Clean, update, and maintain contact and lead records in RealNex or a similar CRE CRM
  • Import and export data between Excel/Google Sheets and the CRM; deduplicate and normalize data
  • Track people entering and leaving the database and uphold data hygiene standards and SOPs
  • Prepare meeting notes, track action items, and manage recurring tasks
  • Coordinate travel, purchases, and basic bill payments according to SOPs
  • Conduct light research to support transactions, outreach, and vendor coordination
  • Document workflows/SOPs, identify gaps, propose improvements, and prevent dropped tasks

Requirements:

  • Minimum 1 year as an EA or operations/administrative professional in commercial real estate
  • Hands-on database management experience with a CRE CRM; RealNex preferred or similar
  • Proficiency with Excel/Google Sheets, including importing, cleaning, and basic formulas
  • Proficiency with Google Workspace
  • Strong phone and email communication skills and professional client-facing demeanor
  • Able to work Monday–Friday, 8:00 a.m.–12:00 p.m. Eastern Time, 20 hours per week
  • Computer with at least 8GB RAM and Intel i5 or AMD Ryzen 5 processor or higher
  • Internet speed of at least 40MBPS
  • Headset with extended noise-canceling microphone and webcam
  • Backup computer and internet connection
  • Quiet, dedicated workspace at home
  • Clear written and verbal English
  • Experience supporting a CEO, founder, or C-suite
  • Highly organized, dependable, detail-oriented, proactive, and process/SOP-oriented
  • Comfortable with shifting priorities; trainable and resourceful
  • Willingness to start part-time and potentially ramp up hours
