Job Description
HTM Contract Manager overseeing vendor agreements, pricing, invoices, and savings for Advocate Health, a nonprofit integrated healthcare system. Maintaining contract databases and supporting strategic healthcare technology operations.
Responsibilities:
- Manage a portfolio of over 110 service agreements totaling more than $40 million in annual spend
- Serve as the primary contact for contracted vendor relationships and facilitate communication between vendors, HTM leadership, and clinical leaders
- Identify standardization opportunities, service evaluations, escalations, and actionable recommendations
- Initiate negotiations, cost-to-value assessments, extensions, and terminations of supplier and service agreements
- Partner with HTM management on contract-processing improvements and contractual amendments
- Monitor contract change dates and process amendments, rate increases, fee schedules, and reimbursement methodologies
- Coordinate contract justification, legal CRAF, and technology review approvals
- Consult with Legal and trigger evaluations by relevant departments such as IT and Data Security
- Develop and publish communications, reference tools, product and rate summaries, prior authorization requirements, and other contract documents
- Communicate vendor and contract status to HTM leaders
- Lead special projects or reviews for system-level agreements when needed
- Activate GPO contract pricing and maintain accurate pricing in the HTM medical equipment database (CMMS)
- Audit vendor adherence to support agreement terms and applicable cost metrics
- Maintain the HTM contract database and data integrity for contracts and covered assets
- Develop standard and ad-hoc reports covering payment issues, amortization, accruals, budgets, invoice payments, savings, ROI, and compliance
- Review, audit, and process invoices against contracts and addendums, including correct general-ledger and department coding
- Analyze data trends and develop Excel spreadsheets for payment anomalies
- Resolve invoice pricing discrepancies with accounts payable, the HTM Business Office, and senior leadership
- Process credit memos and update contracts, general ledger records, purchase requests/orders, budgets, and databases
- Present savings identified through contract-language and invoice-discrepancy audits
Requirements:
- Bachelor's Degree in Health Care Administration, Business, or a related field
- Minimum 5 years of experience in contract and/or vendor management, data analysis and reporting, and capital technology support within a healthcare technology management environment
- No licensure, registration, or certification required
- Excellent human relations and analytical skills
- Self-motivated; able to schedule, organize, and manage work independently with minimal supervision
- Ability to function independently within broad guidelines and instruct, guide, assign, advise, and lead team members
- Ability to manage time and resources in a dynamic, complex, highly visible environment with multiple dependencies and competing interests
- Excellent project management and multitasking skills
- Advanced understanding of contract management processes, procedures, terms, and conditions
- Ability to manage a large portfolio of strategic contracts and categories
- Ability to interpret highly technical analysis in non-technical terms for management reporting
- Ability to manage complex issues, drive incremental contract savings, and develop strategic relationships
- Understanding of basic accounting concepts
- Ability to communicate and partner effectively with HTM Leadership, Clinical Leadership, and vendor contract management/executives
- Advanced written and verbal communication skills
- Excellent organizational skills
- Ability to travel as required
