Job Description

TENx10 Events Coordinator coordinating logistics and operations for events and internal gatherings. Collaborating across teams to ensure successful planning and execution of events while providing exceptional hospitality.

Responsibilities:

  • Ensure every event reflects TENx10's commitment to excellence, hospitality, and thoughtful execution.
  • Create environments, alongside the Events Director & Partner Team, where partners, guests, and collaborators feel welcomed, prepared, and valued through thoughtful communication and exceptional hospitality.
  • Anticipate needs, identify potential challenges, and proactively solve problems before they impact the team or participant experience.
  • Coordinate the operational execution of TENx10’s hosted, collaborative, and sponsored events, including logistics, venues, travel, registration, technical support, catering, shipping, inventory, and fulfillment.
  • Manage communications with speakers, partners, attendees, vendors, and contractors, including registration, mailing lists, participant records, and event correspondence.
  • Coordinate honorariums, reimbursements, contracts, invoices, vendor payments, and other event-related financial processes.
  • Maintain event project plans, timelines, task lists, and project management systems (Monday.com) to ensure timely execution.
  • Evaluate event outcomes and identify opportunities to strengthen future events.
  • Coordinate the operational execution of TENx10’s sponsored event portfolio, including conference logistics, booth participation, sponsorship fulfillment, promotional materials, and contractor coordination.
  • Maintain sponsorship timelines, documentation, fulfillment, and outcome tracking.
  • Support the planning and logistics for staff retreats, internal meetings, and other organizational gatherings.
  • Maintain accurate databases, participant records, online filing systems, and organizational documentation.
  • Track partner participation and engagement to support relationship management and reporting.
  • Prepare reports, correspondence, mailing lists, and administrative materials that support the Events team.
  • Maintain and improve event systems, workflows, and standard operating procedures (SOPs).
  • Partner with the Events Director and collaborate across TENx10 teams to deliver successful events and improve organizational effectiveness.
  • Participate in team meetings, planning sessions, and collaborative projects.
  • Take meeting notes, track action items, and ensure timely follow-up as assigned.
  • Represent TENx10 at conferences, gatherings, and partner events as needed.
  • Contribute to a culture of initiative, collaboration, and operational excellence.

Requirements:

  • Bachelor’s degree or equivalent experience
  • Three to five years of event planning, project coordination, or administrative experience.
  • Ability to travel domestically 6-9 times a year for various events
  • Youth or church ministry experience preferred
  • Proven ability to provide superb customer service
  • Strong verbal and written communication skills
  • Proficiency with Google Workspace, Microsoft Office, Monday.com (or similar project management software), and virtual collaboration platforms.
  • Experience with Planning Center Online and ProPresenter preferred.
  • Works well under pressure and can manage pressing requests and situations with demonstrated ability to prioritize tasks and relationships.
  • Works well in a multicultural environment with a high level of intercultural competency and focus on diversity, equity, and inclusion
  • High attention to organization, deadlines, accuracy, and details
  • Ability to work effectively both independently and as a member of a team
  • Able to work with a diverse remote team and interact with team members via digital task management systems and virtual meeting environments.
  • Bilingual in English and Spanish is a plus.
