Job Description

Operations Manager overseeing property management operations, managing a remote team of virtual assistants. Focusing on process improvement and scaling operations for a U.S.-based company.

Responsibilities:

  • Oversee and manage a remote team of VAs (initially 10–12, scaling to 25+)
  • Monitor daily productivity and workflow across departments
  • Review end-of-day reports and conduct random audits to ensure quality and consistency
  • Proactively identify performance gaps and operational risks before escalation
  • Design, implement, and maintain KPIs, scorecards, and performance dashboards
  • Build audit frameworks for quality control, compliance, and efficiency
  • Standardize workflows across leasing, accounting, maintenance, and customer support
  • Establish clear SOPs, escalation paths, and accountability structures
  • Conduct regular one-on-one coaching sessions with team members
  • Deliver peer-to-peer performance coaching when needed
  • Train, mentor, and develop team leads and high-potential VAs
  • Foster a culture of ownership, transparency, and continuous improvement
  • Manage and optimize current tools including AppFolio, Asana, Google Drive, and Dialpad
  • Evaluate and recommend additional software, dashboards, or record-keeping systems to improve visibility, tracking, and scalability
  • Act as a trusted operational partner to U.S. leadership
  • Translate leadership goals into executable workflows and measurable outcomes
  • Support scaling initiatives with data-driven insights and process recommendations

Requirements:

  • 8+ years of hands-on team leadership experience, including managing teams of 25+ people
  • Proven experience scaling property management operations or similar service-based organizations
  • Strong background in Business Process Improvement (BPI), operations management, or continuous improvement
  • Demonstrated ability to design and implement KPIs, audits, SOPs, and performance systems from scratch
  • Deep understanding of property management workflows (leasing, accounting, maintenance, resident support)
  • Experience managing remote teams and driving accountability in distributed environments
  • High-level proficiency with AppFolio, task management tools (Asana), and collaboration platforms
  • Strong analytical, communication, and leadership skills.
