Job Description
Accounts & Payroll Officer managing payroll and invoicing processes for a remote team. Working with financial operations using tools like Hubstaff in a dynamic environment.
Responsibilities:
- Process staff payroll accurately and on time (salaries, wages, allowances, deductions)
- Ensure correct computation of benefits and statutory contributions
- Maintain payroll records and resolve payroll-related queries
- Prepare payroll reports as required
- Process and record vendor invoices
- Prepare and execute vendor payments in accordance with agreed terms
- Maintain organised and up-to-date AP records and supporting documentation
- Resolve invoice discrepancies and respond to vendor payment inquiries
- Generate and issue accurate client invoices based on approved billable hours and contractual rates
- Track receivables, monitor aging reports, and follow up on outstanding payments
- Apply payments accurately and reconcile customer accounts
- Address billing inquiries and resolve discrepancies in a timely and professional manner
- Review and validate time records using Hubstaff to ensure accuracy and compliance with billing requirements
- Collaborate with internal finance and operations teams to improve billing, collections, and payment workflows
- Assist with month-end reconciliations, reporting, and audit preparation as needed
- Support cross-functional finance tasks and special projects as assigned
Requirements:
- 3+ years of experience in payroll processing and AP/AR functions
- Hands-on experience using Hubstaff for billing or payroll validation is required
- Experience supporting Australian payroll or international clients
- Experience working in a remote or distributed team with strong organisational and time-management skills
- Experience working with accounting or ERP systems and invoice management tools
- Excellent attention to detail with a high level of accuracy
- Professional communication skills and the ability to handle financial data with confidentiality
- A bachelor’s degree in Accounting, Finance, or a related field is preferred but not required.
