Job Description

PMO Operations Lead standardizing governance, portfolio visibility, and Wrike automation for nesto Cloud’s B2B mortgage technology platform. Improving project quality and reducing reporting administration.

Responsibilities:

  • Own and maintain standardized planning and reporting templates across projects, including status reports, RAID logs, and phase-gate checklists
  • Define and improve standard usage of project management tools, especially Wrike
  • Ensure new projects are set up in Wrike with the standard structure from kickoff
  • Version-control template changes and deploy standards through change management plans
  • Act as the internal Wrike expert for project structures, custom fields, dependencies, and workflows
  • Conduct recurring reviews of active Wrike project plans
  • Flag missing dependencies, unrealistic timelines, unowned tasks, and stale statuses to Project Managers
  • Review and challenge project plans before external delivery or phase gates
  • Advise Project Managers on sequencing, risks, assumptions, and plan quality
  • Surface cross-project patterns such as resource conflicts
  • Maintain a rolled-up portfolio view of active projects, risks, and resourcing load
  • Identify resourcing conflicts and timeline collisions
  • Prepare portfolio-level summaries for the PMO Director
  • Automate recurring reporting tasks using Wrike workflows, dashboards, lightweight scripting, or Zapier-style connectors
  • Automate project setup at kickoff and build early-warning triggers for overdue tasks and at-risk dependencies
  • Report to the Director of PMO

Requirements:

  • 8+ years of professional experience, including 5+ years hands-on in project or program management
  • Project operations or PMO background
  • Experience owning and configuring a PPM tool such as Wrike, including structures, custom fields, dependencies, and workflows
  • Process and automation mindset
  • Experience building automation with AI
  • Judgment to identify genuine project risks and constructively challenge Project Managers' plans
  • Ability to communicate structured portfolio information clearly to leadership
  • Ability to work across teams without formal authority
  • Experience using AI tools such as Claude or Gemini
  • Change management experience rolling out processes or tools
  • Facilitation skills for workshops and retrospectives
  • French is an asset, not a requirement
  • PMP, Certified ScrumMaster (CSM), and/or other agile PM certifications are nice-to-have
  • Experience with financial institutions, mortgage or lending technology, or regulated B2B environments is nice-to-have
