Job Description
Project Coordinator managing brand partnerships and campaign execution at Changing Lives Productions. Supporting the CRO and cross-functional teams to ensure efficient project workflow.
Responsibilities:
- Overall project management for the Brand Partnerships team, including timelines, trackers, deliverables, meeting notes, action items, and follow-ups.
- Maintain CRM hygiene, including deal stages, contact records, next steps, meeting notes, follow-up dates, campaign status, and key client information.
- Prepare and organize materials for client meetings, internal reviews, campaign kickoffs, status updates, and post-campaign recaps.
- Track open items across Sales, Client Services, Production, Creative, Marketing, Analytics, Legal, Finance, and Talent to ensure nothing falls through the cracks.
- Support campaign handoffs and kickoffs by documenting what was sold, what needs to be delivered, who owns each next step, and when key milestones are due.
- Maintain project trackers, campaign status documents, asset lists, approval logs, reporting deadlines, and renewal follow-up reminders.
- Assist with team administration, including scheduling, agenda creation, meeting recaps, document organization, file management, and internal communication.
- Help keep sales and client-service materials organized and current, including pitch decks, case studies, campaign links, performance highlights, and client-facing assets.
- Support event and industry activation planning by helping organize target lists, meeting schedules, follow-up trackers, and post-event pipeline updates.
- Identify bottlenecks, missing information, overdue follow-ups, or unclear ownership, and flag issues before they become bigger problems.
Requirements:
- 4+ years of experience in project coordination, sales operations, client services, partnerships, media, agency, entertainment, creator, or production environments.
- Familiarity with branded content, digital media, creator partnerships, advertising, or agency workflows is a plus.
- Strong organizational skills and high attention to detail.
- Experience maintaining CRM systems such as HubSpot, Salesforce, Monday.com, Airtable, or similar tools.
- Excellent written communication and ability to create clear meeting notes, recaps, trackers, and follow-up summaries.
- Ability to manage multiple moving pieces in a fast-paced environment.
- Strong follow-through and comfort holding people accountable to deadlines.
- A proactive mindset; you notice gaps, flag issues, and create order without waiting to be asked.
- Comfort working across Sales, Client Services, Production, Creative, Marketing, Analytics, Legal, Finance, and Leadership.
- Ability to keep sensitive client, deal, and performance information organized and confidential.
- Comfort using AI tools to summarize notes, organize information, improve workflows, and increase speed.
