Job Description
Sales & Marketing Coordinator supporting revenue growth for U.S.-based professional services business. Focused on sales coordination and marketing campaign execution in a remote role.
Responsibilities:
- Maintain accurate and up-to-date CRM records (HubSpot)
- Log inbound leads, referrals, and outreach activity
- Ensure same-day or next-business-day follow-up on all prospects
- Schedule discovery and introductory calls with leadership
- Prepare proposals using approved templates
- Track opportunities through defined pipeline stages
- Maintain detailed notes on prospect status, outcomes, and next steps
- Conduct professional follow-up calls to prospects previously contacted via email campaigns, in-person visits, or mailed materials
- Confirm receipt of materials and assess interest level
- Schedule next steps when appropriate
- Update CRM after each interaction
- Follow approved scripts and structured outreach processes** *(No cold calling or high-pressure sales involved.)*
- Execute email campaigns and workflows in HubSpot using provided content
- Coordinate follow-up sequences tied to marketing campaigns
- Create landing pages and forms in WIX using templates and approved copy
- Ensure workflows, forms, and notifications function properly
- Monitor campaign activity and flag performance issues
- Provide weekly activity and pipeline summaries
- Track outreach attempts and response rates
- Monitor follow-up SLAs and identify stalled opportunities
- Maintain organized documentation to support process repeatability
Requirements:
- Experience in sales coordination, sales support, or marketing coordination
- Comfortable making professional outbound follow-up calls
- Strong written and spoken English communication skills
- CRM experience (HubSpot strongly preferred)
- Experience executing email campaigns and workflows
- Basic experience with websites or landing pages (WIX preferred)
- Highly organized, detail-oriented, and process-driven
- Reliable and accountable with strong follow-through
