Job Description

Sales & Marketing Coordinator supporting revenue growth for U.S.-based professional services business. Focused on sales coordination and marketing campaign execution in a remote role.

Responsibilities:

  • Maintain accurate and up-to-date CRM records (HubSpot)
  • Log inbound leads, referrals, and outreach activity
  • Ensure same-day or next-business-day follow-up on all prospects
  • Schedule discovery and introductory calls with leadership
  • Prepare proposals using approved templates
  • Track opportunities through defined pipeline stages
  • Maintain detailed notes on prospect status, outcomes, and next steps
  • Conduct professional follow-up calls to prospects previously contacted via email campaigns, in-person visits, or mailed materials
  • Confirm receipt of materials and assess interest level
  • Schedule next steps when appropriate
  • Update CRM after each interaction
  • Follow approved scripts and structured outreach processes** *(No cold calling or high-pressure sales involved.)*
  • Execute email campaigns and workflows in HubSpot using provided content
  • Coordinate follow-up sequences tied to marketing campaigns
  • Create landing pages and forms in WIX using templates and approved copy
  • Ensure workflows, forms, and notifications function properly
  • Monitor campaign activity and flag performance issues
  • Provide weekly activity and pipeline summaries
  • Track outreach attempts and response rates
  • Monitor follow-up SLAs and identify stalled opportunities
  • Maintain organized documentation to support process repeatability

Requirements:

  • Experience in sales coordination, sales support, or marketing coordination
  • Comfortable making professional outbound follow-up calls
  • Strong written and spoken English communication skills
  • CRM experience (HubSpot strongly preferred)
  • Experience executing email campaigns and workflows
  • Basic experience with websites or landing pages (WIX preferred)
  • Highly organized, detail-oriented, and process-driven
  • Reliable and accountable with strong follow-through

  • Experience supporting founders or leadership teams
