Job Description

Senior Director owning doctor dinners, advisory boards, and eyecare events for Eyes On Eyecare. Managing clients, KOLs, vendors, budgets, and onsite execution.

Responsibilities:

  • Own every live program end to end, from client kickoff through attendee follow-up, budget reconciliation, and results reporting
  • Build target attendee lists using audience and npiQ data and own attendance goals
  • Run client kickoffs, status calls, change management, and client communications
  • Build relationships with KOLs and clinical partners and develop new program concepts
  • Build and manage program budgets, negotiate venue and vendor contracts, and reconcile budgets
  • Track attendance, target-doctor participation, and attendee feedback; deliver results reports and renewal recommendations
  • Translate client objectives into event formats, audiences, faculty, agendas, dates, times, and locations
  • Source venues and manage caterers, AV, transportation, photographers, video-production companies, and other vendors
  • Coordinate faculty and KOL scheduling, travel, briefing materials, and honoraria
  • Manage invitations, RSVPs, reminders, confirmations, signage, slides, and printed materials
  • Create event plans with schedules, contacts, KOL bios, run of show, and onsite assignments
  • Lead onsite execution for staff, vendors, faculty, and clients
  • Run hybrid programs, virtual advisory boards, webinars, and virtual roundtables
  • Coordinate streaming, remote faculty, platform setup, faculty preparation, and attendee management
  • Extend live programs into digital content and coordinate integrated live and digital deliverables
  • Manage logistics for doctor video shoots, including locations, contracts, scheduling, travel, lodging, catering, and transportation
  • Maintain program plans and communications in ClickUp
  • Plan and run team dinners, company events, off-sites, and informal KOL gatherings
  • Travel up to 50% and provide onsite coverage at major eyecare meetings

Requirements:

  • 5+ years of experience planning and running live events, with at least 3 in healthcare, pharma, medtech, or a healthcare agency
  • Direct experience running HCP programs such as doctor dinners, advisory boards, or speaker programs
  • A track record of owning client relationships and program budgets, not just executing someone else's plan
  • Strong vendor negotiation and contracting experience
  • Able to travel up to 50%, including evenings and weekends
  • Bachelor's degree or equivalent experience
  • Experience in ophthalmology or optometry, and existing relationships with eyecare KOLs
  • Familiarity with the major eyecare meetings and how they run
  • Experience with virtual advisory board, webinar, and hybrid event platforms
  • Experience coordinating logistics for video shoots or on-location productions
  • Comfort with ClickUp or a similar project management tool
