Job Description

Senior Project Coordinator supporting Thermo Fisher Scientific’s global clinical supplies trials. Managing regulatory documentation, project records, payments, reporting, and team coordination.

Responsibilities:

  • Provide administrative and technical support to the Global Clinical Supplies Project Team
  • Plan, organize, and coordinate project administration responsibilities
  • Maintain procedures, guidelines, documentation, project records, and database repositories
  • Ensure regulatory documents are correct, processed, and approved
  • Complete data entry and prepare reports and data collection for analysis
  • Support quality review and mentor junior staff
  • Review, coordinate, and compile files and materials
  • Distribute project documents, supplies, communications, reports, documents, and forms
  • Process and track regulatory, study-specific, departmental, and vendor documents
  • Review files and maintain correspondence and departmental records
  • Analyze and reconcile project documents, metrics, and findings reports
  • Clarify and resolve documentation findings
  • Assist with translation materials and translation quality control
  • Maintain vendor trackers and access to company, client, and vendor systems
  • Process local payments
  • Assist with project management ad-hoc activities, reports, and study plan editing
  • Coordinate team conference calls and distribute meeting minutes
  • Maintain knowledge of GCPs, SOPs, and protocol-specific requirements
  • Implement project plans and meet project timelines
  • Serve as a resource to the project team
  • Assist with audit-ready files and regulatory audit responses
  • Train junior staff and support leadership in determining training needs

Requirements:

  • High / Secondary school diploma or equivalent and relevant formal academic / vocational qualification
  • Technical positions may require a certificate
  • At least 4 years of comparable previous experience
  • Effective oral and written communication and interpersonal skills
  • Ability to work in a team or independently
  • Strong organizational skills and attention to detail
  • Ability to handle multiple tasks efficiently and effectively
  • Ability to analyze project-specific data/systems
  • Strong customer focus
  • Flexibility to reprioritize workload
  • Working knowledge of applicable regulations and procedural documents
  • Solid English language and grammar skills
  • Good presentation skills
  • Proficient in MS Office
  • Ability to learn database systems and modern technology
  • Critical thinking, root cause analysis, and problem-solving skills
  • Ability to work under pressure and meet deliverables and timelines
  • Ability to complete required training programs
